Coalhurst council approves update to Town facility rental process

A new framework for how Town of Coalhurst facilities are rented out has been approved by members of council.

Officials said the updated approach comes after a review at a Committee of the Whole meeting earlier this month.

The Town noted that the intent with the new approach is to “improve clarity, consistency and accessibility for residents and organizations booking Town spaces”.

The review focused on consolidating rental procedures for the Community Centre and Miners Memorial Park as prior to this new framework, governance and operational requirements for the facilities were spread across multiple policies and agreement documents. Officials explained that led to issues like duplication, inconsistencies, and an overall more difficult booking process for staff and residents.

The restructured framework separates governance, contractual terms, application processes, and public guidance. It includes a Town Facility Rental Policy, a Facility Booking Request Form, a Facility Rental Agreement, and a public-facing Booking Guide.

The Town said the new approach will allow council to establish policy direction, while administration manages the operational and procedural details.

Officials said some of the major benefits expected to come from the update include clearer booking procedures, more consistent eligibility criteria, and improved transparency around the use of facilities and community donations.
